    Hi there and Welcome to ProntoForms! I'm excited that you've partnered with us for your mobile forms solution. I wanted to share some best practices to help get you started with your form building.

    My first piece of advice is to Define Your Goals, thinking of both Quantitative and Qualitative Goals. Some questions to ask yourself to define these goals are:

    • What problem are we trying to solve?
    • Are there any gaps to how I am doing this now?
    • What does success mean to the organization?
    • What are we trying to accomplish?
    • How can we improve the experience for our end users?

    Once you have your goals in place, it's important to keep those at the forefront of the form building process. The next seven steps will help you stay on track with your form building:

    Step 1: Have One or Two Dedicated Champions

    While ProntoForms is a low code platform, like anything it does take some time to get familiar with it. We recommend having 2 champions that understand the portal and form building process. This is to protect yourself from any unforeseen changes – such as someone leaving your company.

    Step 2: Know Your Audience

    Think about who this workflow is for – is it an experienced employee who has been using paper forms for 20 years or a new employee who is eager to adopt new processes? This will help you understand how your users may feel when taking on a big change.

    Step 3: Talk to Your Audience

    Try to uncover pain points of the current form process and try to determine what they do like. For example, does the current workflow require them to jump from page 1 to page 7 and then back to page 1, does the flow work?

    Step 4: Map out Your Template

    Take everything you've learned in Steps 1-3and map out what the form will look like and how you will implement this information. Use word, a white board, or even a notebook to map out the form and use this as an opportunity to find any workflow errors.

    Step 5: Reference the ProntoForms Features available on your tier

    Investigate which features you can use to improve user experience and create efficiency within your forms. For example, can you use data sources to pull information into your forms and auto populate answers? Can you implement conditional logic to answer or prompt further questions?

    Step 6: Build your Forms

    Now the fun part! Build out your forms based on your template and features you investigated.

    Step 7: Test your Forms

    The final step is making sure you have a trusted end user test the form. Get them to provide feedback about what's working well and what could be improved to make any final tweaks prior to deploying forms to your entire field staff.
